This article explains which emails and messages CustoMED sends, who receives them, how reminders work, and how to change what you receive. It is for everyone who uses CustoMED, and especially for Organization Admins and Organization Back Office users who receive most case updates.
What CustoMED emails you about
Who receives it | Switch in My Account | |
A case was shared with you | The person the case was shared with | Case shared with you |
A case is ready for your review | The collaborators the back office selects when it sends a case back for review | Case sent for review |
A case needs back-office review | Your Organization Back Office users (or the CustoMED back-office team if your organization has none) | Case sent for review |
A case was created, completed or archived | Organization Back Office users, Organization Admins and Organization Supervisors | Case completed and status updates |
Case reminders (see below) | Organization Back Office users, and Technicians for missing scans | Case completed and status updates |
Case allowance alerts | Organization Admins, when only a few cases are left and when none are left | Not in My Account |
Comments and mentions | The case creator, the author of a comment when someone replies to it, and anyone who is mentioned | Comments and mentions on your cases |
Comments and mentions also appear in the notifications bell inside CustoMED.
Note: Demo cases never send emails, reminders or WhatsApp messages.
Changing which emails you receive
Click your name at the top left and choose My Account.
Expand Notifications.
Switch each type on or off in the Email column. Your choice is saved as soon as you switch.
Each type starts with a default for your organization role. For example, Clinicians don't get Case completed and status updates emails unless they switch it on. Your organization can also turn a type off for a role. If it did, it stays off for you.
Emails about your account and security, such as sign-in codes and password resets, are always sent. Case allowance alerts are not in My Account. To change them, or your organization's defaults, contact CustoMED support. See When to Contact CustoMED Support.
Reminders
CustoMED checks your organization's upcoming cases and sends a reminder when:
The scan or segmentation has not been uploaded and the surgery is less than 2 weeks away. Technicians receive this reminder too.
A scan was uploaded but the case still needs a segmentation.
A case has been locked for review for more than a week and the surgery is less than a week away.
A case is locked and the surgery is less than a week away.
In Supervised and Viewer organizations, a case still needs back-office approval and the surgery is less than a week away.
Reminders are combined into one email and sent at the time of day set for your organization, in local time. Archived cases and demo cases do not trigger reminders.
WhatsApp messages (CORA)
If you use CORA on WhatsApp, CORA can send you the same case updates there: cases shared with you, cases sent for review, comments and mentions, and completed cases. The Notifications section in My Account then has a WhatsApp column, so you can choose email, WhatsApp, both or neither for each type. See CORA WhatsApp Notifications.
Not getting emails you expect?
Check the table above to make sure your role receives that email, then see Notifications & Reminders Not Received.
