This article explains everything you can do from the Case Manager, your CustoMED home page: creating cases, reading case statuses, filtering and searching, archiving, and switching organizations. It is for everyone who works with cases in CustoMED.
The Case Manager: your home page
The Case Manager is the first screen you see after you log in. You can always return to it from Home Page in the side menu. From here you can:
Create a new case
See the cases you have access to in the selected organization
Track the status of each case
Open a case summary or go straight into the case workflow
Switch organizations and open your account options
In the image above: 1 your name and the Account menu, 2 Create New Case, 3 tabs, filter and search, 4 your case list.
Note: Which cases you see depends on your role. Organization Admins, Organization Back Office users, Organization Supervisors and Technicians see every case in the organization. Clinicians, Medical Assistants and Sales Reps see the cases they created and the cases shared with them. See User Roles & Permissions.
Creating a new case
The Create New Case section at the top of the page shows one card per procedure your organization can plan. Cards for the procedures you used most recently come first.
Make sure the correct organization is selected in the Account menu.
Scroll through the procedure cards.
Click the card of the procedure you want to plan.
Everyone except Technicians can create cases, so Technicians do not see this section. For the full steps, see Create a New Case.
Note: Create cases on a desktop or laptop computer. Uploading scans and planning are designed for a large screen.
What a procedure card shows
The procedure name and image
A Demo button with a Play icon that opens a demo case for that procedure, when a demo is available
N Available Cases: how many cases your organization has left for this procedure. Hover over it to see when the case allowance expires.
Demo Only: your organization has no cases left for this procedure, or its allowance has expired. Clicking the card opens a demo case instead of creating a new one.
Demo cases
Demo cases are real cases with preloaded imaging, so you can explore the full workflow without creating a case or using your case allowance. You can try every step in a demo case, but you cannot archive it. If your organization has no cases yet, the demo cases available to you also appear in the case list. See Exploring with Demo Cases.
Case cards
Each case in the list appears as a card that shows:
The procedure image and name, and the case identifier (for example #1234)
A lock icon when the case is locked for review
Surgery group tags and case parameters
Case Output: Plan Only or Plan and PSI
Surgery date and Created by
The case number and printable case number
The current status and how long ago the case was last updated
Click a card to open the case summary (the case drawer).
Case statuses
The status on each card shows where the case is in its lifecycle. It changes as the case moves through its steps.
Status | What it means |
Awaiting Scan Files | The case was created and is waiting for its CT scan. |
Pending or Segmenting | The scan was received and is being processed. |
Segmentation | The segmentation is ready for review. |
Reduction, Landmark, Surgery Planning, PSI Design | The case is at that planning step. Reduction applies to fracture cases only, and PSI Design to Plan and PSI cases only. |
Awaiting Approval | The plan is ready to be approved. |
Awaiting Final Review | The plan was approved and is waiting for back-office approval (supervised and viewer organizations). |
Ready for Production | The plan is approved and the PSI is waiting to be produced. |
In Production | The PSI is being produced. |
Completed | The case is finished. Plan Only cases become Completed as soon as they are approved. |
Case Archived | The case was archived. |
When a case is in back-office review, its card shows a lock icon and the status appears in the back-office color. For the full lifecycle, see The Case Lifecycle Explained.
The case drawer
Clicking a case card opens the case drawer, a side panel with three tabs:
Details: surgery date, created and last modified dates, creator, organization, printable label, case output and case notes. If you can share the case, you also manage Contributors and General Access here.
Files: the case files, grouped into Approved Packs, Open Packs and General Case Files.
Activity: what has happened in the case so far.
The button at the bottom of the drawer opens the case at its current step (for example View Segmentation). Use its arrow to jump to another step that has already been created.
Finding a case
Use the tabs above the list to choose which cases you see: Recently Viewed, All, Active, In Production, Completed and Archived (back-office users also see Back Office). Type in Search to look through every case you have access to in the selected organization, including archived cases, or click the filter icon to filter by Case State, Date or Surgery Type. Filters only change what is shown; they never change or delete cases.
For every tab, search option and filter, see Filtering & Finding Cases Quickly.
Archiving and unarchiving cases
Archive a case when you no longer need it in your active list. Archiving does not delete the case: its data stays available, and you can find it in the Archived tab or with search.
Click the case card to open the case drawer.
Click the trash icon (Archive this case) at the bottom of the drawer.
Click Confirm. To cancel, press Esc.
To restore an archived case, open it from the Archived tab, click Unarchive Case in the case drawer and confirm.
Note: You can archive a case if your role on it is Manager, Editor or Approver, or if you created it. An archived case can only be viewed until it is unarchived. Locked cases and demo cases cannot be archived.
Organizations and your account
If you belong to more than one organization, the Case Manager shows the cases of the organization selected in the Account menu, and your role can be different in each one. See Switching Organizations.
Click your name at the top left for My Account and Log Out. See Signing In & Your Account.
Best practices
Check that the correct organization is selected before you create or open a case.
Use tabs, filters and search to manage long case lists.
Use demo cases to learn a workflow without affecting real cases.
If an action is missing, check your role in the current organization.
Archive cases you no longer need to keep your list clean.
When to contact support
